1. Introduction & Who We Are
Foundation for Horse Health HQ (“Horse Health HQ”, “we”, “our”, or “us”) is a nonprofit corporation registered under the Canada Not-for-profit Corporations Act (Corporation No: 1425783-9). We are committed to protecting your privacy in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation, including Quebec’s Law 25 and British Columbia’s and Alberta’s Personal Information Protection Act (PIPA).
This Privacy Policy explains how we collect, use, disclose, store, and protect your personal information when you visit our website or use our mobile application (“App”).
2. Information We Collect
We collect only the personal information necessary for identified purposes:
● Account information: Full name, email address, and role (horse owner, veterinarian, student, or other)
● Payment information: Billing details when making donations (processed via secure third-party providers — we do not store card numbers)
● User submissions: Questions, comments, or messages submitted through in-app or website forms
● Device & usage data: IP address, device type, operating system, unique identifiers, pages viewed, and session duration (collected automatically)
● Cookies & tracking: Cookies and similar tracking technologies (see Section 6)
● Third-party data: Information from social media platforms if you connect your account, or from analytics and payment processors
We will not collect, use, or disclose personal information for purposes other than those for which it was collected, except with your consent or as required by law.
3. How We Use Your Information
● Delivering our services: Providing access to educational resources, training programs, and App features
● Account management: Creating and maintaining your account and managing preferences
● Communications: Sending newsletters, training updates, donation receipts, and service announcements you have consented to receive under CASL
● Donations & tax receipts: Processing charitable donations and issuing official donation receipts under the Income Tax Act (Canada)
● Product improvement: Analyzing usage patterns to improve App features, content quality, and user experience
● Safety & security: Detecting fraud, abuse, and security incidents; enforcing our Terms of Use
● Legal compliance: Meeting obligations under Canadian federal and provincial law
We do not sell, rent, or trade your personal information to third parties.
4. Legal Basis & Consent
Under PIPEDA, we rely on the following legal bases for collecting and using your personal information:
● Express consent: For marketing emails and push notifications — you must opt in under CASL
● Implied consent: Where the purpose is obvious given the context (e.g., processing a donation you initiated)
● Legal obligation: Where processing is required by Canadian federal or provincial law
● Legitimate interest: Where we have a genuine organizational purpose that does not override your rights
You may withdraw consent at any time by contacting us. Withdrawal does not affect prior lawful processing.
5. Sharing Your Information
● Service providers: Trusted third-party vendors for cloud hosting, email marketing, payment processing, analytics, and push notifications. All are bound by written agreements to protect your data.
● Legal requirements: When required by a Canadian court order, law enforcement, or government authority
● Business transfers: In the event of a merger or asset sale, with equivalent privacy protections in place and notice to you
● Cross-border transfers: Some service providers are located outside Canada (including the United States). We use contractual safeguards consistent with PIPEDA requirements.
6. Cookies & Tracking Technologies
Types of cookies we use:
● Essential: Required for the website to function (e.g., login sessions, security)
● Functional: Remember your preferences and settings
● Analytics: Understand how visitors use our site (e.g., Google Analytics)
● Marketing: Deliver relevant content and measure campaign effectiveness
You can control cookies through your browser settings. Under Quebec’s Law 25, we obtain consent before deploying non-essential cookies for Quebec residents.
7. Mobile App – Additional Disclosures
The following applies to the Horse Health HQ mobile application on the Google Play Store:
● Account data: Name, email, user role
● Device data: Device model, OS version, unique identifiers, crash reports
● Usage data: Features accessed, content viewed, session duration
● Push notifications: Optional — you may disable in device settings
Third-party SDKs: Google Firebase (analytics, crash reporting, push notifications) and Google Analytics for Firebase. Data may be processed in the United States.
8. Data Security
Our safeguards include:
● Encryption in transit: TLS (HTTPS) for all data transfers
● Encryption at rest: Sensitive data stored in encrypted form
● Access controls: Data access limited to authorized personnel
● PCI-compliant payments: We do not store payment card numbers
In the event of a breach that poses a real risk of significant harm, we will notify the Office of the Privacy Commissioner of Canada (OPC) and affected individuals as required under PIPEDA’s breach reporting obligations.
9. Data Retention
● Account & profile data: Duration of your account + 2 years after deletion request
● Donation & financial records: 7 years (required under Canadian tax law)
● Support correspondence: 3 years after case resolution
● Analytics & usage data: 26 months (de-identified after 6 months)
● CASL consent records: Indefinitely (to demonstrate compliance)
10. Children’s Privacy
Our App and website are not directed to children under 13 (or under 16 in Quebec). We do not knowingly collect personal information from children without verifiable parental consent. Contact support@horsehealthhq.com if you believe your child has provided us with personal information.
11. Your Privacy Rights
Under PIPEDA and applicable provincial legislation, you have the right to:
● Access: Request a copy of the personal information we hold about you
● Correction: Request correction of inaccurate or incomplete personal information
● Withdrawal of consent: Withdraw consent to collection, use, or disclosure at any time (subject to legal limitations)
● Opt out of marketing: Unsubscribe from commercial electronic messages at any time — we comply with CASL and honor requests within 10 business days
● Quebec residents (Law 25): Right to data portability, right to be de-indexed, and right to object to automated decision-making

12. International Data Transfers
Some of our service providers are located outside Canada, including in the United States. When transferring your personal information internationally, we use contractual protections to ensure it receives substantially similar protection to that provided under PIPEDA.
13. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last Updated” date, post a notice on our website, and for significant changes, display an in-app prompt. Continued use after changes constitutes acceptance.
